Managing Orders

The "Orders" section within Order Management is your central hub for viewing, tracking, and managing all customer orders initiated or processed through your ReadyChatAI bot. This is essential for businesses using the bot for e-commerce and sales.

Orders Dashboard: At-a-Glance Metrics

At the top of the Orders page, a series of KPI cards provide a quick summary of your order activity, typically for the current month or a selected period:

  • Total Orders: The total count of all orders received.
  • Completed Orders: The number of orders that have been successfully fulfilled and closed.
  • Orders in Progress: Orders that are currently being processed but are not yet complete.
  • Orders Cancelled: The count of orders that have been cancelled either by the customer or by your team.
  • Total Sales: The total monetary value generated from all orders.

Initially, these metrics might display "0" or "0%" if no orders have been processed yet.

Order Status Tabs & Filtering

Below the KPI cards, a set of tabs allows you to filter the main orders list by their current status. This helps you focus on orders at different stages of the fulfillment process. Common statuses include:

  • In Progress: (Often the default view) Orders currently being worked on.
  • All Orders: Displays every order regardless of status.
  • Draft: Orders that were started but not fully submitted by the customer.
  • Confirmed: Orders that have been acknowledged and are ready for processing.
  • Shipping: Orders that have been dispatched for delivery.
  • Delivered: Orders that have reached the customer.
  • Completed: Orders that are fully processed, delivered, and closed.
  • Cancelled: Orders that will not be fulfilled.

Clicking on any of these tabs will refresh the "All Orders" table below to show only the relevant orders.

All Orders Table: Detailed Order Information

The main component of this page is the "All Orders" table, which lists individual orders with key details. When populated, you'll typically see columns such as:

  • ID: A unique identification number for each order.
  • Products: Details of the item(s) included in the order. The caret icon suggests sortability.
  • Customer: Information identifying the customer who placed the order.
  • Created: The date and time when the order was placed.
  • Quantity: The total number of items in the order.
  • Total Cost: The complete monetary value of the order.
  • Channels: The social media platform or channel through which the order originated.
  • Status: The current fulfillment status of the order (e.g., In Progress, Shipped, Delivered).
  • Actions: This column would typically contain buttons or icons for performing actions on an individual order, such as viewing more details, updating status, or contacting the customer.

The message "No Orders added yet" accompanied by an icon will be displayed if there are no orders to show in the selected view.

Table Management Tools

  • Filter Icon: Located above the table, this button likely allows for more advanced filtering or sorting of the order list beyond the status tabs, perhaps by date range, customer, or product.
  • Export Button: Enables you to download the order data, often as a CSV or Excel file, for reporting, accounting, or offline analysis.

Managing the Order Lifecycle

The Orders page is designed to help you:

  • Monitor New Orders: Keep an eye on incoming orders from various channels.
  • Track Fulfillment: Update and manage the status of orders as they move from "Confirmed" through "Shipping" to "Delivered" and "Completed."
  • Identify Bottlenecks: Quickly see if orders are stuck in a particular status for too long.
  • Handle Issues: Address any problems related to orders, such as cancellations or customer inquiries.
  • Analyze Sales Data: Use the KPIs and export functionality to understand sales performance.

For effective order management, it's crucial to regularly update the status of each order as it progresses through your fulfillment process. This ensures accuracy in your dashboard metrics and provides a clear overview for your team.
