Pipeline examples: sales closed by a person

Two worked pipelines — a high-value sale that needs a quote, and a course or program enrollment finished by an advisor

These are illustrations of the method in Design a pipeline that fits your business, not a closed list. Every setting used here exists in Pipeline settings and Configure stage. Each pipeline also has its Won and Lost stages; a person drags leads there.

1. High-value sale closed by a person

Fits: custom projects, installations, B2B services, vehicles, events — the price is quoted case by case, the decision takes days or weeks, and a salesperson closes.

  • Start from: the default stages, then rename them as below.
  • Who closes the sale: A person closes the sale. The bot does not take orders or book; it offers to connect the customer with a person.
  • How the bot moves contacts: Suggest a move. Keep it there: in a long sale you want to approve each step.
  • Goal: Understand each customer's project well enough for a salesperson to quote it, and connect them with the team.
StageWhat the bot does in this stageWhen it leaves this stageWho handles it
New lead (entry)Find out what the customer needs and what it is for. One question at a time. Do not talk about prices yet.The customer explained what they need.Only the bot
QualifyingGather what a salesperson needs to quote: size or quantity, location, date they need it by, and a rough budget if they are willing to share it.The customer gave the size or quantity, the location and the date they need it by.Only the bot
With a salespersonTell the customer a salesperson will prepare a proposal, and answer general questions meanwhile. Do not give prices or promise dates.(empty)Only a person
Proposal sentAnswer general questions about the process. For anything about the proposal, offer to connect them with their salesperson.(empty)Only a person
  • Automatic event: none. Nothing ReadyChatAI records marks progress here; people move the cards.
  • Closing: the salesperson drags to Won or Lost.
  • Who receives new contacts: Take turns among these people, with only the salespeople selected under Choose people.
  • Why the bot stops at Qualifying: the two stages after it happen outside the chat. With Only a person the bot keeps answering customers there but never moves them.
  • Variation: if your team calls every lead back instead of chatting, choose The team contacts the customer and change the second stage's exit condition to "The customer left a phone number and a time to be called."

2. Course or program enrollment

Fits: academies, courses, training programs, gyms and memberships — the customer compares, asks about dates and price, and then enrolls. It takes days, and often an advisor finishes the enrollment.

  • Start from: the default stages, then rename them as below.
  • Who closes the sale: The team contacts the customer if an advisor calls each prospect to enroll them; A person closes the sale if the advisor continues in the same chat. Choose The bot completes the sale only if enrolling is an order or an appointment the bot can take.
  • How the bot moves contacts: Suggest a move.
  • Goal: Help each person find the program that fits them and leave them ready to enroll with an advisor.
StageWhat the bot does in this stageWhen it leaves this stageWho handles it
New lead (entry)Find out which program interests them and what they want to achieve with it. One question at a time. The person said which program or topic interests them.Only the bot
EvaluatingExplain how the program works, who it is for, and answer questions about schedule, format and requirements. The person asked how to enroll or said they want to join.Only the bot
Ready to enrollTake the person's full name and a phone number, and tell them an advisor will contact them to complete the enrollment. The person left their name and a phone number.Bot and a person
With an advisorAnswer general questions. For payment and enrollment, tell them their advisor will help.(empty)Only a person
  • Automatic event: none in this version. If enrolling starts with a visit or a trial class booked through your services, add Appointment booked to a stage named Trial class booked.
  • Closing: the advisor drags to Won when the person enrolls, or to Lost.
  • Who receives new contacts: Take turns among these people with your advisors selected, so every prospect has an owner to call them.
  • Several programs: keep one pipeline. The steps are the same for every program; the entry stage finds out which one.
  • Selling a subscription with a free trial that an integration reports to ReadyChatAI: start from the Membership sales template instead, which has a Trial active stage that receives the Trial started event.
