WhatsApp Campaigns (Mass Sending)
Send one approved WhatsApp message to many contacts from your own number
Path: Communication > Mass sending
Mass sending lets you send a WhatsApp message to a list of contacts at once: a promotion, a reminder to come back, a follow-up to people who asked and did not buy. Each send is called a campaign. A sequence is a series of messages sent to each person over several days.
Messages always leave from your business's own WhatsApp number, never from ReadyChatAI's, and they always use a template approved by Meta.
Mass sending is being enabled account by account. If Mass sending does not appear under Communication in the left menu, it is not enabled for your account yet. Contact ReadyChatAI support to ask for it.
What you need before your first campaign
- Mass sending enabled for your account (see the note above).
- Your own WhatsApp number connected in Channels. Without one, the page shows Connect your WhatsApp number to send campaigns and the New campaign button is disabled. You can still see past campaigns and manage your do-not-market list.
- Campaigns turned on by accepting the terms once (next section).
- At least one approved template. See WhatsApp campaign templates.
- A payment method on your WhatsApp Business Account in Meta. Meta bills campaign messages to you directly. See How to add a payment method.
- Contacts who agreed to hear from you. See Audiences and excluded contacts.
How to turn on campaigns
The first time you open Mass sending you see Turn on WhatsApp campaigns. Before you start, you confirm four things:
- Messages go out from your WhatsApp number, never from ReadyChatAI's.
- You only message customers who agreed to hear from your business.
- Meta bills your WhatsApp Business Account directly for every message.
- Customers who reply STOP are excluded from future campaigns automatically.
Tick I accept the WhatsApp campaign terms and press Turn on campaigns. You only do this once.
Who can use it
- An Administrator can do everything: turn campaigns on or off, create templates, create, start, pause and stop campaigns and sequences, and edit the do-not-market list.
- A Messages Manager can open Mass sending and look at campaigns, templates and results, but cannot create or change anything.
- Other roles do not have access to the page.
If your ReadyChatAI account is locked, Mass sending is not available until the account is unlocked, and campaigns that were sending are paused.
What is on the page
At the top there are four tabs:
| Tab | What it is for |
|---|---|
| Campaigns | Your campaigns and their results. See Create and send a campaign, Daily limits, pauses and stops and Campaign results. |
| Sequences | Series of messages over several days. See Sequences and Manage a sequence and read its results. |
| Templates | The WhatsApp templates on your account. See Templates. |
| Excluded contacts | Your do-not-market list. See Audiences and excluded contacts. |
Also: Campaigns and the Leads pipeline and Troubleshooting.
On the Campaigns tab you also see each of your WhatsApp numbers with Payment method confirmed or Payment method not confirmed yet. Below them, Up to N messages a day opens to show each number's Quality and Limit tier, both as reported by Meta. See daily limits.
A campaign from start to finish
- In Templates, create a template and submit it to Meta. Wait until it shows Approved.
- In Campaigns, press New campaign. Name it, choose the template, fill its variables, choose the audience and, if you want, a date and time. Press Save draft.
- On the draft, upload your CSV if the audience is a file, tick the permission confirmation, and review the Pre-send checks.
- Press Start campaign (or Schedule campaign).
- Follow progress on the same screen: sent, delivered, read, replies and failed.
Nothing is sent while a campaign is a Draft.
Who pays for the messages
Meta bills your WhatsApp Business Account directly for every campaign message, on the payment method you added in Meta. ReadyChatAI does not collect that money and cannot add the payment method for you.
Campaign and sequence messages do not use your ReadyChatAI plan's message allowance and are never billed as extra messages. When a customer answers and the bot replies, that reply counts like any other bot reply.
Campaign messages are templates, so they are not the free-form replies described in WhatsApp Service Messages.
Where customers' replies go
Every campaign message that Meta accepts is also written into that customer's conversation in Messages, labelled Marketing campaign, so you can see which promotion a reply is answering. If the person was only in your CSV and had never written to you, a conversation is created for them.
When someone replies, the reply arrives in that same conversation like any other WhatsApp message. Your AI agent answers it as it answers any conversation, and the reply is counted under Replies in the campaign's results.
How to turn campaigns off
At the bottom of the Campaigns tab, press Turn off campaigns, then Yes, turn off. This stops every scheduled, sending or paused campaign, and every sequence that has not finished; people who were still in the queue do not get the message. To use Mass sending again you accept the terms again.
FAQ
Can I send from the ReadyChatAI number? No. Campaigns only send from a WhatsApp number your business connected.
Can I write a free message instead of using a template? No. A campaign always uses a template approved by Meta.
Can I send campaigns on Instagram or Facebook Messenger? No. Mass sending is for WhatsApp only.
I have more than one WhatsApp number. Which one sends? When you have two or more, a Send from selector appears in the campaign, sequence and template screens. Each number has its own templates, so pick the number first.
Can a customer stop receiving campaigns? Yes. If they reply STOP they are excluded automatically. See Audiences and excluded contacts.
Is there a limit to how many I can send? Yes, a daily limit. Larger campaigns keep sending on the following days. See daily limits.
